Who we are, and our approach

This app is operated by Vero Dawn Holdings LLC, a Wyoming limited liability company ("Vero Dawn", "we", "us"). You can reach a person at hello@verodawn.co.

You are holding health information here, often about someone you love. We treat it that way. Everything in the app is information you choose to enter. We do not receive records from a hospital, a doctor's office, an insurer, or any health plan.

We are not a HIPAA covered entity or a business associate. HIPAA governs healthcare providers, insurers, and the companies working directly for them. Because you enter your own information rather than a provider sending it to us, HIPAA does not apply to this app. That does not lower our standard; it means the promises in this policy are ours to keep.

Information we collect

We collect only what is needed to run the app:

• •Account information you provide: your name and email address, used to sign you in.
• •Health-adjacent information you enter about yourself or a person you care for: their relationship to you, conditions, medications, care team, test results, allergies, visits, notes, and the questions and answers in your conversations with the assistant.
• •Limited technical information created automatically when you use the app, such as basic log and device data used to keep it secure and working.
• •Waitlist information, if you joined before creating an account: a first name, an email address, and who you said you are caring for. This is kept separate and never receives anything from a record.

Photographs, audio, and cookies

When you photograph a medication bottle or a document, the image is read once to pull out the details and is not saved; there is no photo library on our side. What is kept is the information you confirm afterward, in words.

The app does not record audio. When it helps you record a visit, it points you to your own phone's recorder, and that recording stays on your phone.

We use cookies that are necessary to sign you in and keep the app working, and we keep first-party usage analytics, which features are used and how often, that never include the content of your record. We do not use advertising or cross-site tracking cookies.

How we use your information

We use your information to operate the app: to sign you in, to store the record you build, to generate responses to your questions, to review the safety of those responses, to answer your support requests, and to keep the service secure. We use limited technical information to maintain and improve how the app works.

We do not use your information to serve advertising, and your information is not used to train artificial-intelligence models. The AI provider is accessed through its developer API under commercial terms that do not permit training on our inputs or outputs. See the AI Usage Policy.

How artificial intelligence processes your information

The app uses an artificial-intelligence service to generate responses. When you ask a question, your message and the relevant part of the record for the person you are viewing are sent to that service to produce an answer. When you photograph a document, the image is sent to be read. Only what is needed to answer is sent, not your whole account.

How we share your information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under US state privacy laws. We disclose information only in these ways:

• •People on our team. While this controlled release is running, the small team operating the app can access the database to fix problems and to review the safety of AI responses. A limited internal log keeps the text of some questions and the replies to them for that safety review. We limit this to what that work requires, and it is deleted with your account.
• •Service providers who process information on our behalf and under contract, so the app can function: an artificial-intelligence provider (to generate responses), cloud hosting and database services (to store your information and sign you in), a payment processor (to take your subscription payment, which never sends it anything from a record), email delivery (to send account messages), and a customer-relationship tool that holds only waitlist details and never receives anything from a record. They may use your information only to provide their service to us.
• •Legal reasons: to comply with the law or a valid legal request, or to protect the rights, safety, and security of our users, the public, or Vero Dawn.
• •A business transfer: if the app is ever involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.

How long we keep it

We keep the information in your account for as long as your account is open. When you delete an item, or close your account, it is removed immediately and is not kept anywhere else. There is no separate copy to recover it from, which means deletion is final.

We may keep limited records for longer only where the law requires it.

How we protect it

Information travels over an encrypted connection. Your password is never stored by us in a readable form. Our database returns only your own records, and the app confirms ownership again before any change is saved.

No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security. If a breach of security affecting your information occurs, we will notify you, and any authorities, without undue delay and as required by applicable law, including federal and state breach-notification rules.

Your privacy rights

Depending on where you live, US state privacy laws (for example California's CCPA as amended by the CPRA, Virginia's VCDPA, and similar laws in Colorado, Connecticut, and other states) may give you the right to:

• •Know and access the personal information we hold about you.
• •Correct inaccurate information.
• •Delete your information.
• •Receive a portable copy of the information you provided.
• •Opt out of the sale of your information or its use for targeted advertising. We do neither, so there is nothing to opt out of.
• •Limit the use of information that state law treats as sensitive to what is needed to provide the app. We already limit it that way.
• •Not be discriminated against for exercising these rights.

What you can do, right now

You can exercise most of these rights yourself at any time from the account screen, which lets you view, correct, download, and permanently delete your information.

You may also write to hello@verodawn.co to make any privacy request, and we will verify it and respond within the time your state's law requires. If we decline a request, you may appeal by replying to our response, and we will answer the appeal.

Consumer health information

Some US state laws protect consumer health information specifically, even for companies not covered by HIPAA. Where those laws apply to you, we will collect and use your health-adjacent information only with your consent and only to provide the app, and we will not sell it or share it for advertising.

This policy serves as our consumer-health-data notice for those states. You can withdraw consent at any time by closing your account, which erases your information.

Children

The app is for adults. It is not directed to children, and we do not knowingly allow anyone under 18 to hold an account. You may record a child's health information only if you are that child's parent or legal guardian.

Changes, and reaching us

We may update this policy as the app grows. If a change is meaningful, we will tell you by email to your account address or with a notice in the app, rather than leave you to notice.
